Authoria has created this statement of our privacy policy (“Statement”) as a demonstration of our commitment to your privacy. This Statement explains how we collect, use and disclose certain personal information we gather online. Authoria, Inc. is a licensee of the TRUSTe Privacy Program. TRUSTe is an independent, non-profit organization whose mission is to build users’ trust and confidence in the Internet by promoting the use of fair information practices. This privacy Statement covers the web site www.authoria.com (the “Site”).

Because this web Site wants to demonstrate its commitment to your privacy, it has agreed to disclose its information practices and have its privacy practices reviewed for compliance by TRUSTe. Authoria complies with the EU Safe Harbor framework as set forth by the Department of Commerce regarding the collection, use, and retention of date from the European Union.

Authoria reserves the right to change this Statement from time to time as our business changes, so please review it frequently. If we decide to change our privacy policy, we will post those changes to this Statement, the Authoria homepage, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If we make material changes to this Statement, we will notify you here, by email, or by means of a notice on our homepage.

Information We Gather

Authoria gathers two types of information from you when you visit the Site: information you submit to us voluntarily, whether for registration, newsletter or other purposes, or information our Site gathers automatically.

Information You Provide Us

There are several pages on the Site in which personally identifiable information is requested so as to enable you to register on the Site, and to receive relevant information about Authoria. Such personally identifiable information may include your name, residential and/or business address, email address, place of employment, position, and/or telephone number(s). You do not, however, need to provide us with personally identifiable information to use many features of the Site. Authoria uses the information it collects to contact customers in order to further discuss their interest Authoria’s products and services, to send information regarding our company or partners, to offer participation in promotions and events, and to issue invitations to webcasts and other informational sessions. Customers are invited to receive an email newsletter by providing an email address. Customers can opt out of providing certain information by not entering it when asked. Customers can update or remove their personal information at any time by logging into the user information page or by emailing support@authoria.com . Customers can view their updated profile to confirm their edits have been made. If you do not wish to receive further information from Authoria, you may opt-out of receiving future mailings by responding as directed in the opt-out instructions set forth below or by contacting Authoria directly at support@authoria.com or at unsubscribe@authoria.com.

Authoria PASSPORT and CUSTOMER CONNECTION Users

If you are a registered user of the PASSPORT page or CUSTOMER CONNECTION page, we may from time to time send you up-to-date information on Authoria products and services via our e-mail newsletter, as well as correspondence from our inside sales group, and invitations to webcasts. If you do not wish to receive further newsletters or correspondence from Authoria, you may opt-out of receiving future mailings by responding as directed in the opt-out instructions set forth below or by contacting Authoria directly at support@authoria.com or at unsubscribe@authoria.com

Authoria COMMUNITY Users

Registered users of the Authoria COMMUNITY site are invited to share their contact information with other registered users of the COMMUNITY and its forums. We may from time to time send you up-to-date information on Authoria COMMUNITY and its features, as well as correspondence and special invitations to events of interest to COMMUNITY users. If you do not wish to maintain your membership to Authoria COMMUNITY, you may opt-out of the site by contacting Authoria directly at support@authoria.com or at unsubscribe@authoria.com.

Authoria CAREERS Users

In addition, Authoria uses the information provided by users registered with the CAREERS page to recruit new members of the Authoria organization. As a registered user with the CAREERS page, your personally identifiable information can remain anonymous while responding to an available position with Authoria. The Authoria CAREERS page requires a valid email address as a login. This permits us to contact you if your job preferences match any job opportunities posted at our Site. Except for a valid email address and geographical preferences, all other information you are asked to submit is optional and voluntary. For example, candidates may voluntarily choose to attach a resume to their profile, or opt to receive notifications about future job openings from Authoria. We will make this personal information available to our internal recruiters and select employees, as well as third parties, such as background checking organizations, and contract recruiters as necessary or appropriate based on a relevant business need to know. These third parties are prohibited from using your personally identifiable information for any other purpose.

Tell-A-Friend

If you choose to use our referral service to tell a friend about our Site, we will ask you for your friend’s name and email address. We will automatically send your friend a one-time email inviting him or her to visit the Site. Authoria stores this information for the sole purpose of sending this one-time email and tracking the success of our referral program.

Your friend may contact us at support@authoria.com to request that we remove this information from our database.

Event Registration

Authoria uses the information of registrants on the User Conference Registration page to send notification and information about Authoria’s Annual User’s Conference. We will make this personal information available as necessary to a third party resource which we use to provide registration services, such as hotel reservations and processing of User Conference Seminar payments. Such third party resource is prohibited from using your personally identifiable information for any other purpose.

Financial Information

If you are ordering products or services from the Site, such as training credits, additional personally identifiable information may be requested. To complete these online financial transactions, we may request such information as contact information (name, title, email address or shipping address) and credit card billing information. Disclosure of this information is completely voluntary and you have a choice whether or not to disclose this information.

Service Providers

Authoria may use other third parties such as Verisign® to provide credit card processing on our Site. When you sign up for a purchase on our Site, we will share your credit card information as necessary for such third party to provide that service. These companies are not authorized to retain, share, store, or use personally identifiable information for any other purpose.

Third Party Sites

The Site may also contain links to other web sites. Authoria is not responsible for the privacy practices or the content of such third party web sites. You should understand that the policy of such third party would apply to personally identifiable information that may be collected during your use of such third party’s sites.

Log Files and Aggregate Information

When users browse our Site, we may log the IP address and other typical tracking information, but the user’s identity remains anonymous. This information is aggregated into our log files as site-wide information and is used for system administration and auditing purposes. We may also use the IP addresses to gather statistical information for marketing purposes. Such information is not used to identify individuals or to reveal personal information.

Cookies

Cookies are bits of information sent by web sites to your browser that enable web sites to recognize your browser on future visits. Authoria uses temporary cookies to provide your browser with information tailored to your needs. Our cookies neither reveal nor interact with other cookies on your hard drive nor do they enable us to learn personally identifiable information that the user has not otherwise provided as set forth in Section 1 above. If you wish to disable cookies, provided your browser permits, you can turn off the cookie function in your browser settings by consulting your browsers Help files. Please note that the Site may not function smoothly without the cookie being activated. In addition, Authoria uses a third-party tracking service that uses cookies to track non-personally identifiable information about visitors to our site in the aggregate for web metric purposes only.

Information Sharing

Authoria may use personally identifiable information that you provide for marketing statistical and job seeking purposes. However, Authoria never willfully discloses any individually identifiable information about its users to third parties without permission to do so, except as required by law or to protect the rights, property or safety of Authoria, our users, or others. We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our web Site. We do not sell users names or email addresses to other companies so that they can send unsolicited email or written promotional materials. We may employ outside service providers to perform functions on our behalf, such as provide marketing assistance, process credit card payments, or provide customer service, for example, when registering for the Authoria Users Conference. The purpose of such companies’ or individuals’ use of such information is limited to performing their function for Authoria and not for any other purpose. The information these providers make available may be presented in a "framed" format, where the Authoria border will surround the pages served by the service provider. In either case, the service provider is prominently identified. Please be aware that any information you provide on those framed pages is provided directly to those service providers for processing; however, Authoria maintains ownership and control of the submitted information. The service provider is prohibited from using the information for any secondary purposes. Authoria’s privacy statement governs the collection and use of all personal information submitted on these registration pages.

Opt-out Options/Correcting Your Personally Identifiable Information

If your personally identifiable information changes, or if you no longer desire our service, you may correct, update, delete or deactivate it by making the change on our user information page or by emailing support@authoria.com or unsubscribe@authoria.com, or by contacting us by telephone or postal mail at the contact information provided in this statement. We will respond to your request within 10-20 business days.

Processing on Behalf of a Customer

Authoria conducts its business according to the EU Safe Harbor Principles and the Frequently Asked Questions (FAQs) issued by the US Department of Commerce on July 21, 2000. Authoria has appointed a Security Program Office responsible for the internal supervision of Authoria’s privacy policies. Authoria has also appointed a Chief Security Officer who is responsible for data security. Authoria is committed to educating its customers, associates and employees about the issues, guidelines and laws surrounding the protection of personal and/or sensitive information, including the laws surrounding compliance with EU Safe Harbor.

Processor on Behalf

Authoria provides On-Demand services designed to help companies manage their human resources data more effectively. In this capacity, Authoria does not own or control any of the information it processes on behalf of its customers. All such information is owned and controlled by the customer; Authoria receives this information merely as a processor on the customer’s behalf. When Authoria acts as a processor on behalf of its customer, the policies outlined below apply to all data processing operations concerning personal information including that which has been transferred from the EU to the U.S.

Processing Contracts

Before starting any processing on behalf of Authoria's customer, Authoria will enter into a contract with the data controller responsible for the personal information. Where the data controller is in the EU, such contract is intended to include provisions relevant to the applicable EU Member State Data Protection law. Among other things, the processing contract ensures that the data controller will be in compliance with all applicable law, including the Member State Data Protection law. Any data processed by Authoria will not be further disclosed to third parties except where permitted or required by the processing contract, EU Safe Harbor or Member State Data Protection law, as applicable. Any information which Authoria's customer (acting as the data controller) identifies as sensitive will be treated accordingly. The processing contract will also specify that the processing will be carried out with appropriate data security measures. Authoria has in place measures to protect personal information from loss, misuse, unauthorized access, disclosure, alteration and destruction.

Security

While Authoria actively works to prevent third party access to personally identifiable information, the user acknowledges that internet communications are not always secure. In view of the foregoing, Authoria cannot warrant that the users’ personally identifiable information will not be accessed by unauthorized third parties, and user agrees that Authoria cannot be liable for such disclosure. In addition, the user is responsible for preventing unauthorized access to the users own passwords and computer. Notwithstanding the foregoing, Authoria uses industry standard encryption technology, such as digital IDs to protect its web servers, and secure communications to prevent data theft. All of our data is behind a firewall. Sensitive information, such as information transmitted via the Customer Connection, is encrypted prior to transmission through SSL and hashed for storage. We regularly review and improve our security policies as necessary, and only authorized individuals have access to the information provided by our customers. In addition, Authoria has in place Data Security Policies to protect personal information from loss, misuse, unauthorized access, disclosure, alteration and destruction. Authoria's Security Program Office is responsible for conducting investigations into any alleged computer or network compromises, incidents or problems and ensuring the proper disciplinary action is taken against those who violate Authoria's Data Security Policy. Any security compromises or potential security compromises and any inquiries concerning security should be reported to the Authoria Security Program Office.
